Location – Melbourne Office (some travel may be required)

Reports To – NUS General Secretary

EFT – 21 hours per week, (Flexible)

Remuneration – $34.31 per hour ($37,568.71 per year)

Position Status – Part Time, Contract/Ongoing

Organisational Information

The National Union of Students (NUS) is the peak representative body for post-secondary students in Australia, representing over one million students in vocational, undergraduate and postgraduate education.The NUS is funded by subscriptions from its member organisations, around 20 students unions on TAFE and University campuses around the country. These funds enable us to provide services and support to our members, co-ordinate state and national campaigns, and advocate on behalf of students and their associations at a state and federal level.

Job Summary

The Office Administrator is responsible to the National Secretary for the provision of a range of administrative, reception and accounts payable and receivable duties. This includes the effective and efficient organisation of the day-to-day operation of the office, financial record keeping, administrative support, and support with NUS’ events and activities in Melbourne and elsewhere.

Duties and Responsibilities

Contribute to the effective operations of the NUS by:

Financial

Processing of Accounts payable and internal transfers.

Distribution and reconciliation of petty cash for the organisation.

Raising invoices and monitoring payments.

Reconciliation of debtors and creditors.

Perform various Monthly Reports (Profit & Loss, Reconciling of all accounts and Credit Card accounts)

Banking for the organisation.

Payroll

Preparation of staff timesheets.

Payroll preparation and processing for staff and office bearers.

Maintaining the payroll related financial records of NUS personnel.

Distribution of payslips and answering payroll queries.

Reconciliation of all payroll provisions.

Maintaining staff leave calendar.

Administrative

Undertake administrative tasks relating to all aspects of the organisation.

Organising office operations and overseeing adherence to office procedures.

Make travel and accommodation arrangements for staff and office bearers.

Maintain office equipment.Maintain all organisational documents.

Liaise with external organisations/stakeholders in the course of daily business.

Manage all organisational and government compliance.

Provide administrative support as needed.Manage organisational emails and subscriptions.

Provide support for NUS events and activities as required.

Other duties as required by the General Secretary.

Key Selection Criteria

Relevant experience or equivalent combination of training and experience.

Experience working with Student Unions or related Not-for-profit organisations. (Preferable)

Well developed skills in Microsoft Office applications.

Experience in accounts payable and accounts receivable.

Knowledge of Reckon/MYOB with relevant work experience (Preferable)

Experience in the use of email, the internet and online ordering systems in a business context.

A high level of interpersonal communication skills.

Proven administrative skills including the ability to initiate improved administrative procedures and systems.

Experience interpreting collective or individual employment agreements. (Preferable)

Experience working with WordPress. (Preferable)

Experience planning or managing events or conferences. (Preferable)
